This Privacy Policy defines the procedure for processing and protecting personal data of users of the Auralix service (hereinafter referred to as the "Service"). By using the Service, you agree to the terms of this Policy. Personal data processing is carried out in accordance with Federal Law No. 152-FZ "On Personal Data" and Regulation (EU) 2016/679 (GDPR) where applicable.

2. Service User Data

We may process the following data of service users:

  • Name and contact information: name, email address, phone number
  • Account data: login, hashed password, profile settings
  • Payment information: subscription and payment data (full payment details are processed by payment providers)
  • Service usage history: actions in the dashboard, agent settings, uploaded documents
  • Support requests: content of inquiries and correspondence
  • Technical data: IP address, browser type, operating system, device data

3. Data of Client Website Visitors

If you interact with an AI widget on our client's website, we may process your messages, contact data, and technical data on behalf of such client. In this case, the client is the data controller, and the Service acts as a technology provider processing data under the client's instructions.

For GDPR purposes, this constitutes a controller/processor relationship: processing by the processor is governed by a contract in accordance with Article 28 GDPR.

4. What Data the Widget Collects

The following data may be processed through the widget:

  • Name, phone number, email address
  • Chat message content
  • Date and time of the inquiry
  • URL of the page where the widget is installed
  • Technical conversation identifiers
  • IP address and browser information

5. How Data Is Used

Data is used for:

  • Responding to visitor inquiries
  • Forwarding leads to the website owner (client)
  • Operating integrations (CRM, messengers, email, webhooks)
  • Preventing abuse and ensuring service security
  • Fulfilling contractual obligations to the client
  • Improving service quality

6. Use of AI

User messages may be processed using artificial intelligence technologies to prepare responses, classify inquiries, and forward leads to managers. Do not transmit special categories of personal data (health information, political opinions, religious beliefs, etc.) through the widget unless required for your inquiry.

7. Transfer to Third Parties

Data may be transferred to infrastructure providers, hosting services, email services, analytics providers, messengers, CRM integrations, and artificial intelligence technology providers where necessary for the operation of the Service. We do not sell personal data to third parties.

8. Cookies

The Service uses cookies to ensure proper operation, user authentication, and collect analytical data. Analytics cookies are loaded only after your explicit consent. Detailed information is available in our Cookie Policy.

9. Retention Periods

Leads and conversations are retained for the duration of the client's use of the Service. After termination, data may be stored for up to 90 days unless longer retention is required by law or contract.

User account data is retained until the account is deleted.

10. Data Deletion

Clients may request export or deletion of leads and conversations. Website visitors may contact the website owner where the widget is installed, or send a request to the Service's contact address.

11. Your Rights

You have the right to:

  • Request information about stored data
  • Correct inaccurate data
  • Delete your account and associated data
  • Withdraw consent to data processing
  • Request restriction of processing
  • Receive data in a machine-readable format (right to portability)
  • File a complaint with the relevant data protection authority
